Introduction

Retail Admin Supervisor

Job Purpose

To manage and oversee all administrative functions within the store in accordance with company standards, policies, and procedures.

Key Performance Areas

  1. Manage, control, and administer all store-related administrative functions, including daily banking, price changes, staff scheduling, employment contracts, stock counts, stationery, and general administration.

  2. Perform daily cash-ups and balancing by verifying incoming cash against sales slips and documentation, and preparing deposits for banking.

  3. Count and record cash received and paid out, balancing totals against cash register sales records.

  4. Ensure accurate and timely daily banking and reconciliations.

  5. Report all discrepancies, shortages, overs, price overrides, refunds, and exchanges daily to the Store Manager for authorisation.

  6. Manage and control all receipt and dispatch of goods in line with standard operating procedures.

  7. Scan and email all receipt and dispatch documentation daily to Head Office.

  8. Submit daily receipt and dispatch reports to the Store Manager for authorisation.

  9. Ensure adherence to daily housekeeping standards in the office area.

  10. Manage and control weekly stock counts according to the approved schedule.

  11. Plan, prepare, and administer stock take counts.

  12. Manage and control all stock take activities.

  13. Plan and prepare staff work schedules for Store Manager approval.

  14. Update price changes daily, both electronically and manually.

  15. Maintain and administer all stock-related matters, including reports on no-sales items, top sellers, and negative stock transactions.

  16. Order, monitor, and control stationery usage within the store.

  17. Minimise expenses within the area of responsibility.

  18. Protect company assets within the area of responsibility.


Entry Requirements

  • Matric Certificate

  • Own or reliable transport, with the ability to work shifts

  • Minimum of one (1) year administration experience within a retail environment


General

  • Perform any other relevant duties as requested by Senior Management

  • Complete all mandatory and service-related training

  • Maintain strict confidentiality of all company information

  • Participate in regular performance appraisals and personal development reviews

  • Take responsibility for staying up to date with current Standard Operating Procedures (SOPs)

  • Cooperate fully with the implementation of new technology and work methods
