Job Purpose

The Lease Controller is responsible for managing and controlling all lease contracts and overseeing the property portfolio on a regional basis. The primary objective is to maximise rental income and/or manage rental expenses while ensuring data integrity for both buildings and tenants. The role includes handling audit queries, controlling all financial and administrative aspects of leases, overseeing financial processes, and delivering accurate reporting to clients. The incumbent will also establish and maintain effective support services for the property management functions within the portfolio.


Key Responsibilities

The duties include, but are not limited to:

  • Manage leasing activities, including lease renewals, rent reviews, negotiations, and related documentation.

  • Facilitate approvals and acceptance of leases and oversee the signing of lease agreements from both landlord and tenant perspectives.

  • Oversee and verify the capturing of new leases, renewals, reassessments, and corrections on SAP.

  • Support accounting services (credit control) by coordinating rental invoicing, adjustments, reconciliations, variance reporting, and customer creation.

  • Compile and communicate deviation reports and implement preventative measures to avoid recurrence.

  • Maintain accurate and detailed monthly status updates for buildings and lease classifications.

  • Compile property-related reporting schedules and actively manage the portfolio expiry profile.

  • Maintain a reminder system to ensure the timely finalisation of all lease administration matters.

  • Oversee tenant and landlord administration, including tenant retention through engagement and responsiveness to tenant needs.

  • Liaise with business units and third parties regarding additional space and maintenance requirements.

  • Ensure all queries are resolved within agreed SLA timeframes and proactively deliver effective solutions.


Decision-Making Authority

The role operates within established policies, procedures, and guidelines and requires strict adherence to prescribed rules, routines, and standards.


Qualifications and Experience

  • Grade 12 or equivalent qualification (NQF Level 4)

  • Additional property-related qualification at NQF Level 5 or higher

  • A Bachelor’s Degree in Finance, Property Management, Business, or Accounting will be advantageous

  • Minimum of 5 years’ relevant experience in property management or administration, including leasing administration, financial accounting, and client interaction

  • Sound knowledge of the South African property industry and property markets

  • Strong general administration, accounting, and financial acumen

  • Knowledge of asset management and legal requirements relating to lease agreements

  • Experience with ERP systems, property management procedures, service contractors, insurance policies, and house rules
